Full Time Executive Assistant

Work Remotely? - Yes Job Role: Full-time Executive Assistant to the President and CEO Company: Mansha Plan (Toronto-Based) Work Hours and Schedule: Full-Time Mon-Fri 830am-6pm EST Please note, available 24/7 (as-needed basis,) evenings/weekends (as required). Work Duration: Long term if successful Rate or Salary range: 8 CAD/hr (can be higher depending on the experience)

Position Summary: Reporting directly to the President and CEO, the Virtual Executive Assistant (EA) provides executive, administrative support to the management team. The EA serves as the organizational engine for the two executives. Calendar, inbox management, travel planning, HR functions, and ad hoc admin and personal assignments will be part of your everyday.

Essential/Primary Responsibilities:

  1. Assists the President and CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, daily bring forwards, meeting agendas and compiling documents for meetings.
  2. Communicates with the CEO and coordinates logistics on high-level meetings both internally and externally.
  3. Communicates with and on behalf of the President with clients, potential clients, partners, advisory boards, external general inquiries, and others on matters as directed.
  4. Keeps track of key dates with following to ups and reminders to ensure project main on track as much as possible
  5. Drafts reports, letters, proposals, presentations; prepares and coordinates oral and written communication as directed.
  6. Supports the President and CEO in their external commitments related to Mansha and The WLTH Foundation, including service on external boards, committees, and other groups.
  7. Maintains confidential files and contact information, including but not limited to the President’s personal files
  8. Manage the President and CEOs’ email inbox and calendars
  9. Assist in managing personal investment properties; including liaising with tenants, ensuring rent is paid on time, and keeping adequate property management records
  10. Conducts basic research on an Adhoc basis; Performs other duties as assigned

Qualifications Required:

  • Bachelors degree, college diploma, or equivalent professional experience
  • Min 4 years experience working in an executive administrative capacity;
  • Beginner-Intermediate level project management knowledge (bonus if it’s in Asana)
  • Beginner-Intermediate level excel and PowerPoint skills
  • Experience working with Slack, Dropbox, Asana, and/or Salesforce
  • At least 65WPM Typing Speed
